Quotes and invoices to your clients

Send a quote, turn it into an invoice when it’s accepted, and bill approved timesheet hours.

Managers, admins and the owner can send clients quotes and invoices from CRM → Quotes & invoices. Numbers count up on their own: Q-0001 for quotes, INV-0001 for invoices.

Quotes

  1. Choose New quote, pick the client and currency, and add lines (description, quantity, price). Add a tax line if you charge one.
  2. Save it as a draft, then Print or save PDF and send it to your client.
  3. Mark it sent. When the client agrees, mark it accepted and choose Make the invoice: a draft invoice with the same lines.

Billing hours

Bill hours invoices a client for time your team recorded on that client's projects:

  • Only approved hours count (the person's weekly timesheet was approved), and only billable ones.
  • Each project becomes one line, at its hourly rate from Reports → Costs. Projects without a rate are shown so you can set one.
  • One invoice has one currency. Projects billed in another currency go on their own invoice.
  • Hours go on one invoice only. If you void or delete that invoice, they can be billed again.

Getting paid

Mark an invoice sent when it goes out, and paid when the money arrives. Sent invoices past their due date show as overdue, and the list shows how much is waiting to be paid. Only drafts can be edited; move one back to draft to change it.
